Legalization Procedure

Please follow these steps in order to legalize your document. The documents should be authenticated by the Ministry of Foreign Affairs in Egypt

Introduction

TLScontact can take in documents to apply for the following:

Legalization of ORIGINAL (not copies) Egyptian documents issued by the Egyptian authorities:

Documents should be certified by the Egyptian Ministry of Foreign Affairs, translated by a sworn translator and legalized by the Embassy of Belgium in Cairo in order to be accepted by the authorities in Belgium. The legalization confirms only the authenticity of the signature of the Official Employee in charge and the seal of the Egyptian Ministry of Foreign Affairs who has legalized the document.

Legalization of ORIGINAL (not copies) Sudanese documents issued by the Sudanese authorities:

Documents should be certified by the Sudanese Ministry of Foreign Affairs, translated by a sworn translator (If the document is translated by the University of Khartoum, it can only be translated to English) and legalized by the Embassy of Belgium in Cairo in order to be accepted by the authorities in Belgium. The legalization confirms only the authenticity of the signature of the Official Employee in charge and the seal of the Egyptian Ministry of Foreign Affairs who has legalized the document.Please note that the original document and its translation are counted as two documents.

Signature legalization for:

  • Parental authorization - The parent staying in Egypt need to come to the center with valid ID to fill in a standard document and a bilingual birth certificate of the minor(s) issued by CSO. The parental authorization should be submitted with a copy of the ID and a copy of the bilingual birth certificate;
  • Annex 32 (before a student visa application) - Guarantor has to come to TLS contact to sign in front of the TLS contact employee. Please bring a valid ID and print of the document to be signed. All information concerning annex 32 can be found on the following link;
  • Annex 32 (for student already living in Belgium) - Guarantor has to come to TLS contact to sign in front of the TLS contact employee. Please bring a valid ID and print of the document to be signed as well as the requested documentation. All information concerning annex 32 can be found on the following link.

Please note that the following documents cannot be accepted for legalization:

  • Documents issued by the Belgian authorities in Belgium;
  • Medical documents;
  • Photocopies of original documents issued by Sudanese/Egyptian authorities;
  • Documents that were NOT issued by Egyptian or Sudanese authorities, even if these documents have been legalized by the concerned Ministry of Foreign Affairs;
  • Documents translated by a non-certified translator, this also applies for documents translated by the University of Khartoum (Sudan) in any other language than English.

Please note that the following documents can be accepted for legalization:

  • The translation of all the documents issued by the Embassy of Belgium in Cairo in order to be presented to the Egyptian authorities in Egypt, can be legalized, please find the sworn translators through the following link.

Preparation of documents

Before the document can be legalized by the Embassy of Belgium in Cairo, firstly, it needs to be authenticated by the Egyptian Ministry of Foreign Affairs at one of their legalization offices in or outside Cairo, then translated by a sworn translator.   • The authentication by the Egyptian/Sudanese Ministry must not be older than 6 months. It must be provided in a readable format and contain all necessary information (registration number, date, signature, name and seal of the person who has issued the document);
  • The signature of the authentication of the Egyptian/Sudanese Ministry has to be known to the Belgian Embassy. In case a legalization should be signed by an official, whose signature has not (yet) been notified to the Belgian Embassy, the document cannot be legalized and applicants need to return to the Ministry to repeat the process;
  • All documents in Arabic language must be translated into French, English, German or Dutch (only in English if translated in Sudan) by a translator who is recognized by the Embassy of Belgium in Cairo. A list of approved translators can be found here;
  • You must submit with your documents a questionnaire which you can find here.

Documents that are issued in English by the competent Egyptian/Sudanese authorities do not have to be translated separately.

Make an appointment

Documents for legalization need to be submitted at the TLScontact Center.

Please create your personal user account, fill out the online form and make an appointment to submit your documents at our center.

Please print out your appointment confirmation letter, as you will need to present this document when you attend your appointment.

Submit your documents

You can submit your documents in person or authorize a representative to submit the documents on your behalf. The representative cannot be a minor.

Please note that in order to enter the application center you need to receive a token from our desk in the lobby of the building.

Please arrive on time for your appointment with the appointment confirmation letter. If you are late more than 29 minutes or you fail to attend your appointment, you will be required to make a new appointment.

  • An extensive range of Added Value Services is available to facilitate your legalization submission process;
  • Your documents will be checked according to the requirements of the Embassy of Belgium in Cairo. The legalization and service fees are paid in the center. Please note that the original document and its translation are counted as two documents. Following completion of these steps, your documents are transferred to the Embassy of Belgium in Cairo for legalization.

Note: Children under 12 years old are not allowed to enter the center.

Collect your documents

After the Embassy of Belgium in Cairo has processed your documents, your documents will be returned to our centre. You will be notified by SMS as soon as the documents arrive. Please arrive with your application checklist and the original and a copy of your identity card ready. If you wish to designate a representative to pick up your documents on your behalf, please make sure that they bring the following documents:

  • Your ID copy;
  • Your application checklist;
  • A letter of authorization signed by you;
  • Your representative’s original ID and a copy.

If you have chosen the TNT Express Delivery Service during documentation submission, your documents will be sent to you directly at your preferred address.

The legalizations will be done on a A4 document with a QR code as the documents have been digitalized in a central system.
